Refund Policy

This Refund Policy outlines the conditions under which refunds, cancellations, and rescheduling are handled for outdoor fitness workshops and programs offered by Flexiblestrdynul.

2. Scope

This policy covers refunds and cancellations for:

  • Single workshop sessions (introductory, group circuit, trail movement, private guidance)
  • Multi-week programs (Foundation, Trail Skills, Seasonal Activity Program)
  • Consulting and personalized plan services
  • Educational product purchases

Free inquiries submitted through our contact form are not subject to this Refund Policy as no payment is involved.

3. Consumer Rights Under Finnish and EU Law

As a consumer purchasing services within the European Union, you may have statutory rights under the Finnish Consumer Protection Act (Kuluttajansuojalaki) and EU consumer protection directives. Nothing in this policy limits your mandatory statutory rights as a consumer.

For services booked at a distance (online or by email), you may have a 14-day right of withdrawal under the Consumer Rights Directive, unless the service has been fully performed with your prior express consent and acknowledgment that you lose the right of withdrawal once the service is fully completed.

Workshop sessions that occur within the withdrawal period and that you have agreed to attend before the 14-day period expires may be subject to proportional charges for services already rendered.

4. Cancellations by the Participant

4.1 Single Workshop Sessions

  • More than 7 days before the session: Full refund of the session fee, or free transfer to an alternative date within the same season.
  • 3 to 7 days before the session: 50% refund of the session fee, or free transfer to an alternative date subject to availability.
  • Less than 48 hours before the session: No refund. Transfer to another date may be offered at our discretion, subject to a €10 administrative fee.
  • No-show without prior notice: No refund or transfer. The full session fee is retained.

4.2 Multi-Week Programs

  • Before the program start date: Full refund minus a €15 administrative fee, or transfer to the next available program cohort at no additional charge.
  • After the program has started: Refunds are calculated on a pro-rata basis for remaining unused sessions, minus a €25 administrative fee. No refund for sessions already attended.
  • After 50% of program sessions completed: No refund available. Transfer options may be discussed on a case-by-case basis.

4.3 Consulting and Personalized Plans

  • Before the consultation takes place: Full refund if cancelled at least 48 hours in advance.
  • Less than 48 hours before consultation: 50% refund or rescheduling at no additional cost.
  • After consultation delivered: No refund for completed consulting sessions. Written plan delivery constitutes completion of the service.

5. Cancellations by Flexiblestrdynul

We may cancel or reschedule sessions due to:

  • Severe weather conditions that pose safety concerns for outdoor activity
  • Insufficient participant enrollment below the minimum required for the session format
  • Facilitator illness or emergency unavailability
  • Restrictions on public outdoor gatherings imposed by local authorities
  • Unsafe conditions at the designated session location

When we cancel a session, registered participants will receive:

  • Notification via email as early as possible, typically at least 4 hours before the scheduled start time for weather-related cancellations
  • The choice of a full refund or transfer to the next available date at no additional cost
  • Refunds processed within 14 business days of the cancellation notification

6. Weather-Related Session Changes

Outdoor fitness workshops operate in variable weather conditions. Light rain, moderate wind, or cool temperatures do not automatically result in session cancellation. Sessions proceed unless conditions are assessed as unsafe by the session facilitator.

Criteria that may lead to weather-related cancellation include: thunderstorms with lightning in the immediate area, heavy ice on paths, sustained winds exceeding 60 km/h, or extreme cold below -20°C with wind chill considerations.

Weather-related decisions are made by the facilitator on the day of the session. Participants will be notified via email and SMS (where phone number has been provided) if a session is cancelled or delayed due to weather.

7. How to Request a Refund or Cancellation

To request a refund or cancel your registration:

  1. Send an email to assist@flexiblestrdynul.world with the subject line "Refund Request" or "Cancellation Request"
  2. Include your full name, the session or program name, the scheduled date, and your reason for cancellation
  3. We will confirm receipt within 2 business days and communicate the applicable refund amount based on this policy

Refund requests must be submitted by the registered participant whose name appears on the booking. Refunds are issued to the original payment method used for the purchase.

8. Refund Processing Timeline

Approved refunds are processed as follows:

  • Credit or debit card payments: Refund appears on your statement within 5–10 business days after processing, depending on your bank.
  • Bank transfer payments: Refund transferred within 14 business days of approval.
  • Other payment methods: Processed within 14 business days or as agreed at the time of booking.

You will receive an email confirmation when your refund has been processed, including the refund amount and expected timeline for the funds to appear in your account.

9. Session Transfers

As an alternative to cancellation, you may transfer your registration to another person provided that:

  • Transfer request is made at least 24 hours before the scheduled session
  • The substitute participant meets any age or eligibility requirements for the session format
  • You notify us in writing with the substitute participant's name and contact email

One free transfer per registration is permitted. Additional transfers may incur a €5 administrative fee.

10. Educational Products

Digital educational materials (guides, reference documents) are non-refundable once delivered or downloaded, unless the product is materially defective or differs significantly from its description. In such cases, contact us within 7 days of delivery for a replacement or refund.

Printed materials included with workshop registration are covered under the session refund terms applicable to the associated workshop booking.

11. Disputes and Complaints

If you are dissatisfied with a refund decision, please contact us to discuss your concerns. We aim to resolve all disputes amicably and promptly.

EU consumers may also use the European Commission's Online Dispute Resolution platform at ec.europa.eu/consumers/odr for cross-border dispute resolution. For domestic disputes in Finland, you may contact the Finnish Consumer Advisory Services (Kuluttajaneuvonta).

12. Changes to This Refund Policy

We may update this Refund Policy from time to time. Changes apply to bookings made after the updated effective date. Bookings confirmed before a policy change remain subject to the terms in effect at the time of booking.
